Job Description

The selected English Speaking Management Assistant will have the following responsibilities :

  • Manage the agenda, organize meetings and prepare presentations for the meetings;
  • Take minutes and make follow up on actions points of meetings;
  • Take care of correspondences and proof reading, phone calls;
  • Coordinate the logistics of external meetings and compile daily reports about the federation partnership and key stakeholders attending meetings;
  • Assist the CEO and the Director of Partnership Development & Communications department with the organization of high-level events such Partner events, General Assembly, key stakeholders meetings;
  • Organise travels, accommodations and logistics when required and prepare the necessary expenses forms and monthly timesheet;
  • Archiving, filing electronically and in paper
  • The Successful Applicant

    The successful English Speaking Management Assistant will :

  • Have at least 5 years experience in similar position, experience in European and international environment is an asset;
  • Have experience in administrative, logistics and coordination tasks;
  • Excellent knowledge of English (C2 level written and oral); German is an asset
  • Good knowledge of MS office and other tools (Powerpoint, Word, Outlook, Internet);
  • Have good planning and organisational skills, ability to work with deadlines;
  • Stress resistant and service minded;
  • Able to work autonomously;
  • Have good relationship & communication skills;
  • Be proactive, reliable, efficient and flexible;
  • Be enthusiastic and positive.
