  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately in second line
  • Receiving / sorting / distributing daily mail and packages
  • Responsible for welcome screen customer visits / / movies,
  • Responsible for keeping fire list up to date
  • Contact person for garages in respect to changes of tyres, car maintenance,
  • Contact person for taxi companies
  • Contact person for receptionist of plant
  • Office Management

  • Coordination with canteen responsible / cleaning company / flower company
  • Maintain office procedures
  • Order new office furniture in agreement with coordinator
  • Keep nameplates up to date in corridors and office
  • 5S METC building and meeting rooms
  • Coordination X-mas cards / calendars
  • Keep info boards and procedures up to date
  • Contact person with boiler man for maintenance, issues within building (heating, airco, )
  • Showroom updating
  • Order and keep Inventory of IT stock ( cables for meeting rooms, connection parts, )
  • Order all necessary supplies / materials needed for the building (flags, office material, )
  • Update Assistants database
  • Maintenance of Sway information
  • Creating, updating and maintaining Outlook groups
  • HR related

  • Distribution of Vouchers (X-mas / Seniority / Saint-Nicolas)
  • Surveys : prepare boxes
  • Introduce general SAP requests for new employees (account, internet, ) manufacturing / finance / HR all others to be done by supervisors or department because too broad and specific
  • Order equipment for new employees reviewing and maintaining stock
  • General support

  • Assistance to travelers in case of difficult flight schedules.
  • Assistance to travelers in case of visa applications.
  • Expense notes for assistants
  • Education :

  • Bachelor Degree in Office Management or equivalent.
  • Specialized Skills / Knowledge :

  • Good administrative skills, good level of working knowledge with MS Office.
  • As you work for the European Headquarters all communication is done in English, you need to be able to speak and write fluently in English, you also need a good knowledge of Dutch, French and German.
  • Stress resistant, team player and trustworthy.
  • A real go-getter who is persistent and gets things done despite obstacle
  • Required Experience

    You have at least a first professional work experience; preferably in an international company.
