RESPONSIBILITIES

  • Gain full comprehension of the assigned managers / team’s key objectives and propose ways of supporting them in achieving those objectives.
  • Identify the managers / team’s priorities, workload, routines and activity portfolio as much as possible and provide input as to how all those activities can efficiently be managed.
  • Develop a network with the managers’ direct reports and act as point of contact in case of absence or specific requests.
  • Stay in close contact with internal service providers for specific tasks and follow up on their assignments.
  • Spontaneously analyze and tackle organizational inefficiencies / Proposals and implementation of organizational improvement / Challenge processes in order to streamline and simplify them
  • Proactively collect & share all key information with the managers / team and with direct reports
  • Support the managers in their departmental communication with colleagues inside and beyond the own department and outside the company
  • Ensure that input (information, requests, documentation) reaches the interlocutor in an optimal way
  • Ensure follow-up of decisions and agreements,
  • Autonomously provide satisfactory answers to low priority requests and provide appropriate feedback to the managers
  • Meetings & VisitorsProfessionally plan, implement & communicate scheduling of meetings, appointments, lunch, dinner and other events.
  • Ensure full responsibility of electronic agenda update and management ;Book meeting rooms and ensure full logistics requirements to be fulfilled (e.

    g. presentation equipment, notepads, stationary, bookings, etc) ;Receive visitors according to general and specific rules.

  • Time ManagementRegularly (re)schedule the agenda of the day to the director / managers ;Ensure regular update of information.
  • Expenses and BudgetPurchase documentation, office supplies, business cards open and track all purchase orders as necessary.

    Handle and follow-up administrative part of contracts / FCPA (Foreign Corrupt Practices Act) documentation for provided services

  • TravelBook manager's travel and accommodation.
  • Information ManagementMake, receive, screen, note and follow-up telephone calls, e-mails, mails ;Manage contact lists, addresses, contact information, business cards ;
  • Help to format official presentations and ensure accurate drafting, translation and layout of to be specified documents and respect corporate identity and house-

    style in all oral and written communicationUpdate intranet by maintain the Medical Department intranet pages up to date, update the Product list on a quarterly basis, or when change of responsibilities occurs

  • Provide logistic and administrative support to the Medical Affairs team and the Vaccins team.
  • REQUIREMENTS

  • Graduate in Office Management or equivalent experience in the field of administration, secretarial work or office management
  • By preference minimum 2 years of experience in a regulatory department .
  • Fluent Dutch, French and English (written and spoken)
  • Computer literate
  • You can work autonomously and have matturity to deal with multiple and different requests at once
  • Change agile and willing to learn as requests may change depending on customer demands
  • Discrete as some confidential information may be available to you
  • Team player within the department as well as amongst the other assistants in and out our medical team
  • Dynamic to be able to work with different type of functions and requests
  • Adhere to deadlines and set processes (in case of financial procedures - for example raising a purchase request)
  • Possess excellent communication skills an ability to respond with professionalism in verbal as well as in written communications
  • The ideal profile is someone with social skills, a positive attitude and a lot of energy. He / she takes pride in making the operations run smoothly and enjoys working with many people.
