As English & Spanish speaking Executive Assistant, you will have to assist the Director of the main department of the telecom company.
For this high-level manager, you will have to :
Fully manage his professional and private agenda (complex agenda with a lot of travels & appointments)
Answer the telephone, filters the calls and the emails - you will act as the first point of contact for his clients
Prioritize his meetings & appointments and manage potential agenda conflicts
Organise the meetings from the invitations to the catering part. You may be in charge of ordering specific material if needed and you will have to take notes in order to deliver a full report in the end
You may help him with the preparation of some PowerPoint presentations or with some Excel or Word documents
For the department, you will :
Be responsible for different administrative tasks such as : approve the purchase requests, HR administration, holiday planning, sickness leaves, filing some documents, etc.
Order the office supplies and take care of the catering when needed
Organise the annual events and team buildings of the department
Act as a back-up of other executive assistants when needed
The Successful Applicant
The ideal Spanish & English speaking Executive Assistant is / have :
At least 10 years experience in an administrative position as Executive / Personal Assistant
Excellent knowledge of the Ms Office
Excellent knowledge of Spanish & English, fluent in French
Strong organizational and interpersonal skills
Being able to handle conflict or any type of problem within a department
